Through the Services, Ashville Media Group provides Event Management, Advertising, Publishing and sponsorship services both printed and digital . We refer to Sponsors , Advertisers , Organisers, Attendees and other visitors and browsers of the Services collectively as “Users” or “you.”

Information you provide to us: For all Users we collect Personal Data when you voluntarily provide such information to the Services, such as when you register for access to the Services, contact us with inquiries, respond to one of our surveys or browse or use certain parts of the Services. The Personal Data we may collect includes without limitation your name, address, email address and other information that enables Users to be personally identified.
Information we automatically collect: We also automatically collect certain technical data that is sent to us from the computer, mobile device and/or browser through which you access the Services (“Automatic Data”). Automatic Data, includes without limitation, a unique identifier associated with your access device and/or browser (including, for example, your Internet Protocol (IP) address) characteristics about your access device and/or browser, statistics on your activities on the Services, information about how you came to the Services and data collected through Cookies, Pixel Tags, Local Shared Objects, Web Storage and other similar technologies.

As an Event Organiser we will collect additional Personal Data from you.
Information you provide to us: In some cases, we may collect your credit card information (e.g., your credit card number and expiration date, billing address, etc.), some of which may constitute Personal Data, to secure certain payments. In addition, if you use our payment processing services, we will collect financial information from you (e.g., your bank account information or an address to send checks) as necessary to facilitate payments and information required for tax purposes (e.g., your taxpayer identification number).
Information we obtain from other sources: We may also collect or receive Personal Data from third party sources, such as third party websites, your bank, our payment processing partners and credit reporting agencies.
As an Attendee we will collect additional Personal Data from you.

4. How We Use Your Personal Data.
4.1 Specific Reason.
If you provide Personal Data for a certain purpose, we may use the Personal Data in connection with the purpose for which it was provided. For instance, if you contact us by e-mail, we will use the Personal Data you provide to answer your question or resolve your problem and will respond to the email address from which the contact came.

If you provide Personal Data in order to obtain access to or use of the Services or any functionality thereof, we will use your Personal Data to provide you with access to or use of the Services or functionality and to monitor your use of such Services or functionality. We allow Sponsors/Media Partners to use our email tools to contact Attendees for their current and past events, so you may receive emails from our system that originate with such Sponsors/Media Partners If you have registered for an event on the Services, your email is available to that Sponsors/Media Partners. However, Sponsors/Media Partners may also import the emails they have from external sources and send communications through the Services to those emails and we will deliver those communications to those emails. All newsletters have an opt out on every email.

We are not in the business of selling your Personal Data. We consider this information to be a vital part of our relationship with you. On some sponsored events where you opt in to Affiliates direct marketing options we may disclose to the sponsors of the event you attend your name, job title and the organisation you work with, we will also share your email address and contact details with the Sponsors/ Partner of the event you are attending so that the they may send you marketing communications regarding its own goods and/or services. These contacts are transferred on the basis that they are only available to them for use for initial contact within 3 months after the event.

10. Your Choices.

10.1 Limit the Personal Data You Provide.
You can browse the Services without providing any Personal Data (other than Automatic Data to the extent it is considered Personal Data under applicable laws) or with limiting the Personal Data you provide. If you choose not to provide any Personal Data or limit the Personal Data you provide, you may not be able to use certain functionality of the Services. For instance, in order to open an account, or buy or sell tickets, your name and email address will be required.
10.2 Opt Out from Electronic Communications.
(a) Ashville Media Group Marketing Communications.
Where it is in accordance with your marketing preferences, Ashville Media Group may send you electronic communications marketing or advertising the Services themselves or events on the Services, to the extent you have registered for the Services or purchased a ticket and/or registration to an event listed on the Services. You can also “opt out” of receiving these electronic communications by clicking on the “Unsubscribe” link at the bottom of any such electronic communication. I”
(b) Organiser Initiated Communications.
Organisers may use our email tools to send electronic communications to those on their email subscription lists, including Attendees who have registered for their events on the Services in the past. Although these electronic communications are sent through our system, Ashville Media Group does not determine the content or the recipients of these electronic communications. Organisers are required to use our email tools only in accordance with all applicable laws. Ashville Media Group provides an “Unsubscribe” link on each of these emails, which allows recipients to “opt out” of electronic communications from the particular Organiser.
(c) Social Notifications.
If you connect your Facebook account or sign up for other social media integrations whose product features include social notifications (i.e., updates on what your friends are doing on the Services), you will receive these social notifications. You can manage these social notifications by toggling your social settings to private or disconnecting such integration.
(d) Transactional or Responsive Communications.
Certain electronic communications from Ashville Media Group are responsive to your requests. For instance, if you are an Attendee, we must email you your ticket or registration when you purchase such ticket or registration. As a further example, if you email our customer support department, we will return your email. Notwithstanding any unsubscribe election that you have made, you will still receive these emails. You can stop receiving these types of emails only by contacting us on our feedback form . By electing to stop receiving all electronic communications from us or through our system you will no longer receive any updates on events you have created (including pay-out issues) or on events you are registered to attend (including emails with your tickets). We do not recommend that you do this unless you plan to no longer use the Services, are not currently registered for an event, are not currently organising an event and will have no need to receive further communications from us or through our system.

We currently do not participate in any “Do Not Track” frameworks that would allow us to respond to signals or other mechanisms from you regarding the collection of your Personal Data.

For Personal Data we receive from the EEA, Ashville Media Group and Openwater ,has certified its compliance to the EU-US Privacy Shield as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal data from the European Union countries. We have certified that we adhere to the Privacy Shield principles of Notice, Choice, Accountability for Onward Transfers, Security, Data Integrity & Purpose Limitation, Access and Recourse, Enforcement & Liability when processing Personal Data from the EEA in the United States.

16. CCTV Policy for Ashville Media Policy
The purpose of this policy is to regulate the use of Closed Circuit Television (CCTV) and its associated technology, monitoring both the internal and external environs of the Ashville Media Group premises, Ashville Media Premises. A copy of this CCTV Policy will be made available on the Ashville Media Group website, provided to all Ashville Media Group full time and temporary staff, Council, and Committee members. A copy will also be provided to visitors to Ashville Media Premises, on request.
This policy is relevant to all personnel in, and visitors to, Ashville Media Group. Moreover, it relates directly to the location and use of CCTV, and the monitoring, recording and subsequent use of such recorded material. The CCTV Policy is in place to enable Ashville Management Team to operate the CCTV system within the Premesis.
This policy prohibits CCTV monitoring based on the characteristics and classifications contained in equality and other related legislation e.g. gender, sexual orientation, ethnic origin, or disability. Furthermore, CCTV monitoring is limited to uses that do not violate the reasonable expectation to privacy as defined by law.
The CCTV cameras will be used to:
Protect Ashville Media and the assets held within it, both during and outside of operational hours (the system will be in operation 24 hours a day, every day);
Ensure the safety of Visitors and personnel
Deter and detect crime; and assist in identifying, apprehending and prosecuting offenders.
The personal data recorded and stored by the CCTV system will be used only for the purposes outlined in this policy document. Collection, storage and use of CCTV footage shall be in compliance with the Data Protection Acts 1988- 2018 and the General Data Protection Regulation (the data protection legislation).
Ashville Media IT Manager is the data controller in respect of images recorded and stored by the CCTV system at Ashville Media which is all stored in house.
Ashville Media Management Team has responsibility for monitoring the implementation of, and compliance with, the CCTV policy.

Should the system be accessed or works conducted on it by unauthorised personnel or without management instruction, this will be viewed as extremely serious and will be grounds for automatic termination of contract..
Data Protection, Storage and Retention
The data captured from the CCTV cameras is securely stored as electronic data. Typically, this data is recorded on a loop and will be retained for maximum of 30 days. It will be over-written after that period. However, data may be retained for longer periods where the events captured give rise to court proceedings.
Access to the data is restricted to authorised personnel (Directorial Team ).
Unauthorised access will be viewed as a data breach. In such an event, the Ashville Media Group Data Breach Management Policy and Procedure will be followed.
Access to the CCTV system and stored images will be restricted to authorised personnel only (as indicated in Section 6). In relevant circumstances, CCTV footage may be accessed:
By An Garda Síochána, where Ashville Media is required by law to make a report regarding suspected crime;
Following a written request by An Garda Síochána when a crime or suspected crime has taken place and/or when it is suspected that illegal/anti-social behaviour is taking place in Ashville Media
To data subjects (or their legal representatives) in response to an access request where the time, date and location of the recordings is furnished to Ashville Media ;
To individuals (or their legal representatives) subject to a court order
To the Ashville Media insurance company where the insurance company requires the same in order to pursue a claim for damage done to the insured property.
Any person whose image has been captured has a right to be given a copy of the information recorded, providing that such an image/recording exists (i.e. that it has not been deleted), and provided that an exemption/prohibition does not apply to the release. To exercise that right, a person must make an application in writing to The Data Controller , Ashville Media Group , 55 Park West Road, Parkwest Dublin 12 D12 X9F9 and provide proof of identity, and proof of address, giving a reasonable indication of the time period sought, and identifying the location of the camera. If the person is under eighteen years, the parent or guardian may make an application. Access requests must be responded to by the Ashville Media Group within one month (30 days) of receipt. In giving a person a copy of his/her data, the data controller may provide a still/series of still pictures, a tape or a disk with relevant images. However, other people’s images should be obscured or blurred before the data is released. Data will be delivered to the requester ensuring that security measures have been considered and implemented. A log of access to images will be maintained. If the image is of such poor quality as not to clearly identify an individual, that image may not be considered to be personal data.
Providing CCTV Images to An Garda Síochána With regard to requests from An Garda Síochána to download footage, the Data Protection Commission recommends that requests for copies of CCTV footage should only be granted when a formal written (or fax) request is provided to the Ashville Media stating that An Garda Síochána is investigating a criminal matter. For practical purposes, and to expedite response to an urgent request, a verbal request may be sufficient to allow for the release of the footage sought. However, any such verbal request must be followed up with a formal written request. A log of all Garda Síochána requests will be maintained by the Ashville Media Group and its data processors. Any such requests should be on An Garda Síochána headed paper, quote the details of the CCTV footage required and should also cite the legal basis for the request under the Data Protection legislation. Prior to the Ashville Media Group issuing any CCTV images to An Garda Síochána, it will be discussed and agreed with the Ashville Media Group’s Data Protection Officer.
There is a distinction between a request by An Garda Síochána to view CCTV footage and to download copies of CCTV footage. In general, An Garda Síochána making a request to simply view footage on the premises of a data controller or processor would not raise any specific concerns from a data protection perspective.
